COVID-19 Safety Protocols

The safety and well-being of our participants, clients, and staff is our number one priority.  The guidelines below were developed by our COVID-19 task force and include recommendations from the Center for Disease Control (CDC). 

Overview

  • Participants, clients, and staff must pass a temperature check and symptom screening before entering the facility.
  • Face masks are required for participants, clients, and staff in all public areas. A face mask will be provided to those who do not have one.
  • All study participants are required to maintain a 6-foot distance from others throughout their entire visit. The desired spacing has been indicated using floor and table markings. 
  • Hand sanitizer will be administered to everyone before they enter the interview/testing room. 
  • After participants are seated in the interview room/testing area, the participants will remove their face mask and place it in a disposable bag that will be provided. Staff members are required to wear a face mask and a face shield. For qualitative studies, face shields will be available for clients and study participants.
  • Gloves will be required for staff members and will be provided to clients and study participants who are interacting with study materials.
  • Research supplies (notepads, pens, tent cards, etc.) will be designated for each person and will not be reused. 
  • 30 minutes is required between sessions to allow for thorough sanitation and ventilation. The interview room and client suite will be sprayed with disinfectant and the room air will be ventilated outside with fans. Surfaces and high-touch areas will be thoroughly sanitized. 
  • Public areas and restrooms are thoroughly sanitized according to a regular sanitation schedule that is visible in each area.
  • Food contact surfaces, utensils, and food prep equipment will be washed, rinsed, and sanitized after each use.
  • A donation to American Red Cross will be made for each confirmed project.

 

Facility Reconfiguration 

  • Hands-free entry.
  • Clear protective shields at hostess desk.
  • One-way system to manage direction of people flow with separate entrance and exit.
  • Floor markings will designate specific areas to maintain a socially distant check-in line and waiting area. Table markings will indicate 6-ft distance in the interview/testing room.
  • Signage of Safety Protocols posted prominently throughout the facility.
  • Designated restrooms for participants, clients, and staff members.
  • No children, visitors, or guests permitted in the facility.

Research Design Changes

  • Arrival time of participants will be staggered when possible to avoid congestion in reception area.
  • Additional screening questions will screen out anyone who has symptoms or has someone in their household with symptoms; or has been exposed to someone with the virus. Participants must also agree to comply with safety guidelines.
  • Consent forms and pre-study assignments will be collected electronically prior to the day of research when possible.
  • Participants, clients, and staff are required to sign a liability waiver.
  • Bottled water will be provided to study participants in the interview/testing room. 
  • Incentives will be distributed virtually.
  • HUTs/Product Placements will be contact-free curbside pickup.

Room Capacity and Other Information

  • Our largest interview room (30′ x 31′) can accommodate up to 10 focus group participants and up to 16 taste test participants.
  • Moderator and participants will be distanced 6-feet apart in interviewing rooms.
  • AOC offers spacious client suites and viewing rooms. We can accommodate up to 5 clients in order to comfortably maintain 6-foot distancing.
  • Groups over 60 minutes will require a 5 minute break mid-way through the session to spray the room with air sanitizer and ventilate air outside. 
  • All food will be pre-ordered, individually packaged and served as delivered.
  • Clients are able to call the front desk from their suite for assistance.
  • We will offer discounted video streaming rates through September 30th, 2020.
